How independent personal trainers take payment for sessions and packages

How independent personal trainers charge for sessions and packages, take card payments in a park or a client's home with no reader, and what it costs.

Independent personal trainers get paid wherever the workout happens: parks, garages, apartment gyms and living rooms. None comes with a front desk. Your client's sweaty, their phone's in a locker, and the session ends with a familiar line: "Can I send it later?"

If you aren't billing through a gym, the payment part is yours to handle. This guide walks through prices for single sessions and packages, payments in person and from home, and what you actually keep from a session. Your job is training. Collecting the money shouldn't take another appointment.

The Bureau of Labor Statistics counted 388,400 fitness trainer and instructor jobs in 2025, with median pay of $47,160 a year, and 15% of the people in them were self-employed. For that group, nobody else runs the register. You do.

How do independent personal trainers get paid?

By card, mostly. From the client's own phone. The usual options are a payment app account, a card reader, or a payment page with a link and a QR code, and of the three the page needs the least gear: clients scan or open the link and pay with a card, Apple Pay or Google Pay, with no app to download and no account to create.

The Federal Reserve's 2026 payments diary found that credit and debit cards made up two-thirds of consumer payments in 2025. Cash? 14%. The gym bag isn't much of a register.

How should you set up your prices?

One service page per price. Each page has a set price plus its own link and QR code, and neither of those ever changes, so a code you printed in January still works in December. tipme supports up to 10 pages. That covers most price lists.

PageExample priceWho it's for
Single session, 60 min$80New clients, drop-ins
5-session pack$375Regulars who commit for a few weeks
10-session pack$700Long-term clients
Small group session$30 per personPark and bootcamp classes
Program design$150Remote clients who train alone

The prices are examples. Use yours. Name each page as a client would describe it, so checkout matches what you've agreed on.

A package means one charge and one receipt. You keep count of the sessions. tipme doesn't run subscriptions or charge cards automatically, which means a pack never renews behind a client's back and nobody opens a statement to a surprise.

How do clients pay in person, with no card reader?

Two ways. No reader.

  • QR code. Show the right page's code on your phone or keep a printed copy in your bag. Your client points their phone camera at it, opens the page and pays there.
  • Tap to Pay. Open the tipme mobile app and use your phone as the card terminal. Your client taps a contactless card, phone or watch on the back of yours. It works on iPhone and Android phones with NFC.

QR works when clients have their phones. Tap to Pay covers a card or watch. Keep both ready and "I'll send it later" won't become another errand. See the Tap to Pay guide for setup.

How do you get paid for online or remote sessions?

Send the link. For a video session, monthly program or check-in call, text or email the payment page. Your client opens it and pays from wherever they are.

For a one-off price, such as a custom program you've quoted, use a one-time payment link. It accepts exactly one payment and expires unpaid after 48 hours.

Should you take payment before or after the session?

Before, for anything booked ahead. A client who has already paid has a reason to set the alarm, and if they don't show, you aren't the one chasing a fee. Simple.

A tipme service page can include booking. Publish times with a number of seats, and let clients choose when they pay. It's useful for small group classes. One catch: cancelling a booking doesn't automatically refund the payment. Put your cancellation policy in the page message and handle exceptions yourself.

Deposits are covered in how to take appointment deposits with a payment link.

What does it cost per session?

As of October 2026, tipme has no signup fee, monthly fee or hardware to buy. Each payment carries one flat fee for every card and wallet. You decide who pays it, page by page.

Client covers the feeYou cover the fee
$80 single sessionClient pays about $83.59, you receive $80.00Client pays $80.00, you receive $76.50
$375 5-session packClient pays about $390.69, you receive $375.00Client pays $375.00, you receive $359.70

Some trainers cover the fee on single sessions and pass it on for bigger packs; others reverse that. It's a per-page setting. See the fees page for current rates.

Payouts go to your bank account by standard ACH transfer. Free. 2 business days.

What about tips and taxes?

Some clients tip after a program or around the holidays. Keep a separate tip page so those payments don't mix with session charges. Payments are labeled in your history, with CSV export available.

Exercise trainers appear on the IRS list of occupations that customarily receive tips under the new federal tip deduction. Eligibility has conditions, and payroll and state taxes still apply. Read No Tax on Tips if you're self-employed before counting on it, and talk to a tax professional.
